Kanban CRM: pipelines and deals

Turn every chat into a deal: set up stages, move cards, record wins and losses and keep the pipeline healthy.

Every conversation can become a deal in the built-in CRM. The Kanban shows your pipeline as columns (stages) and cards (deals), one board per sector.

1. Set up your pipelines

  1. In Settings, open Sectors and pick the sector (for example Sales).
  2. Create the stages that match your real process, for example New lead → Qualified → Proposal sent → Negotiation → Won. Keep it to 5–7 stages.
  3. Choose the entry stage: where new conversations from each connection create their card.
  4. Prepare the lists your team will need, also in Settings: lead origins (where deals come from), loss reasons (why deals are lost) and task types (call, meeting, visit).

2. Work the deals

  1. Open Kanban and choose the sector.
  2. Open a card to see the contact, the conversation, tags, tasks and history.
  3. Fill in the deal value, the product of interest and the next step.
  4. Move the card to the next stage as the deal progresses.
  5. Create tasks with a due date for follow-ups, so nothing depends on memory.
  6. When the deal closes, mark it as won, or lost with a loss reason.

Tags add context to a card (Hot, Referral); the stage shows where the deal is. Use custom fields (Settings › Custom Fields) for structured data such as budget, city or preferred date.

3. Let automation move the pipeline

  • AI agent: in automatic mode, tell it which stage to use ("when they ask for a proposal, move the card to Proposal sent"). See Set up your AI agent.
  • Workflows: trigger actions when a card enters a stage, or when a deal has been stuck in a stage for a set time (minutes, hours or days). See Automations.
  • BrAIn (from Growth): an AI sales manager that scores every lead from the conversation, flags deals at risk or leads waiting too long, suggests the next reply and sends the manager a daily summary.

4. Measure

Use Reports to follow conversion, response times and team performance. Consistent stages, loss reasons and lead origins are what make these reports useful.

Good habits

  • One card per real opportunity; avoid duplicates.
  • Record the loss reason every time: it's how you improve.
  • Review stuck cards weekly.
  • Keep stage names stable: the AI agent and automations find stages by their exact name.
